What is Managed Services?
When a company subscribes to a Managed Service, a service provider monitors and manages the network equipment and applications on the customer's premises according to the terms of a service-level agreement (SLA) established to meet the company’s unique business needs. Some Managed Services are also hosted, meaning that the service provider hosts the equipment in its facility instead of the customer’s, and delivers services to company employees over the WAN. Managed Services provide enterprise class capabilities for a predictable monthly fee—without requiring a large, initial capital investment. Companies that out-task: enjoy high levels of network support and availability, enable internal staff to focus on strategic activities instead of network support, and pay only for those networking services that they need.

Why Managed Services?
Managed Services predict, prevent, and protect your servers, network and workstations from impending disasters. Managed Services allows you, the business owner/manager, to focus on your business priorities and operational excellence while your managed service provider focuses on high availability of your network resources and uninterrupted data access. Managed Services reduce your IT costs (including outsourcing), provides monthly IT health reports, and IT asset inventory, as well as 24X7 monitoring with alerts and advice for your business on the best practices for improving your infrastructure.

How is Managed Services different from our current IT solution?
Managed Services is a pro-active approach that constantly monitors and maintains your network and IT hardware. Your present solution may be reactive with unpredictable costs. Pro-active management of your network and IT hardware will recognize, diagnose, and fix issues before or as they occur. This approach dramatically reduces business downtime with immediate diagnosis, remote support, priority on-site service, and preventative care. Your IT costs are dramatically lower and your uptime is greatly increased.

What is involved in implementing or switching over to your Managed Services program?
You will need your hardware/devices’ admin names and passwords, along with your users’ names and passwords. After our initial network health & security scans we can have your domain protected and managed that same day.

What is Remote (off-site) Backup?
Remote, online, or managed backup service is a service that provides users with an online system for backing up and storing data files. Online backup systems are typically built around a client software program that runs on a schedule; typically once a day. This program collects, compresses, encrypts, and transfers the data to the remote backup service provider's secure data center servers.

Why Remote Backup?
Critical data loss due to: file deletion/recovery errors, compliance, data corruption, disk/hardware failure, disaster/fire recovery, disgruntled employees and backup tape/device failure.

Isn’t a backup tape with my data enough to protect my business from a disaster?
No. Industry sources have reported that up to 50% of tape backups do not successfully restore critical data. Other issues include: the amount of time required to restore data, missing data because bigger hard drives were installed, but a matching tape drive was not purchased, cost of tapes, and the cost of labor to manage the backup process, including the transportation to and from an off-site storage facility. If you have to restore your business after a disaster, you will still need to acquire replacement hardware, PC’s, and your application programs. Then you will have to rebuild your IT capabilities before you start reloading your backed-up data, which can take many hours/days/weeks, assuming it works.

How do I know my Remote Backup is secure?
Data is encrypted twice during the backup procedure. First it is AES 256-bit encoded, which is the same regulated encryption used for classified government documents. It is then transmitted using SSL encryption to our facilities. You will create an encryption password that can only be accessed by you. Your data will remain encrypted unless you use your chosen password.

What is Business Continuity?
Business Continuity is the short term ability to run your critical business functions during and immediately after a disaster.

What’s the difference between Disaster Recovery and Business Continuity?
Business Continuity focuses on keeping your business functioning while you address the many tasks required for Disaster Recovery.

Why do I need both Disaster Recovery and Business Continuity plans?
Businesses rely on phones and computers to communicate with customers, employees and vendors. If you aren’t prepared for a disaster, it is likely that you will not be able to respond to their needs in a timely manner to ensure the survivability of your business.

Is Business Continuity required for my industry?
Healthcare, financial organizations and public companies are required to develop Business Continuity plans. HIPAA, GLBA, and Sarbanes-Oxley also require data protection and quick access to data during and after a disaster.

How quick is your Disaster Recovery?
From an e-mail to a single data file, to a total server restore Disaster Recovery ranges from a matter of minutes to 48 hours.

What is Open Source?
Open Source software is defined as computer software for which the source code and certain other rights normally reserved for copyright holders are provided under a software license that meets the Open Source definition or that is in the public domain. This permits users to use, change, and improve the software, and to redistribute it in modified or unmodified forms. It is very often developed in a public, collaborative manner. Open Source software is the most prominent example of Open Source development and is often compared to user-generated content. The term Open Source software originated as part of a marketing campaign for free software. A report by Standish Group states that adoption of Open Source software models has resulted in savings of about $60 billion per year to consumers.

Do I need Linux certification (knowledge) for your Open Source Solutions?
No. Most of the Open Source solutions can be maintained by a web interface or do not need maintenance whatsoever. Added knowledge is available in the open community on the web via Wiki’s, FAQ’s and developers. All, if not most, of your questions can be answered in minutes.

Who do we go to for support on Open Source issues if we cannot contact you?

What is E-mail archiving & retention?
E-mail archiving is a stand-alone IT application that works with an e-mail server to help manage an organization’s e-mail messages. It captures and preserves all e-mail traffic flowing into and out of the e-mail server so it can be accessed quickly at a later date from a centrally managed location. When the need arises to search historical e-mail for internal investigations or for a court-ordered legal discovery, organizations can search thousands of e-mail records in seconds using search tools embedded in the e-mail archiving system.

Why does my company need an E-mail archiving/retention policy?
For Regulatory compliance — preserve important documents, e-mails, and other critical data according to internal rules and external regulations. For data storage – to reclaim storage capacity by migrating older or infrequently accessed e-mail data from primary systems to more cost-effective archival storage. Speed backup and recovery processes by archiving unchanged data. For Process automation — save time and money and enable rapid information retrieval with automated archiving processes. For Online access — improve information access by keeping data online and readily accessible and reusable. Unchanged data archiving — digitally signed e-mail storage.

What is SAAS, Hosted applications or Cloud Computing?
Short for Software as a Service, SaaS is a software delivery method that provides access to software and its functions remotely as a Web-based service. SaaS allows organizations to access business functionality at a cost typically less than paying for licensed applications since SaaS pricing is based on a monthly fee. Also, because the software is hosted remotely, users don't need to invest in an IT infrastructure. SaaS removes the need for organizations to handle the installation, set-up and often daily upkeep and maintenance. Software as a Service (SaaS) may also be referred to as simply hosted applications.

Is SAAS secure?
Yes. The server side aspect is designed at the highest level of security and is equal to if not more secure than current on line banking. In most cases, the “Cloud” is accessed by a secure login via a browser, which employs 256 bit encryption; the highest available.

What are the benefits of a web accessed document management System?
